Rubicon Farm & Ranch ("we," "us," or "our") operates the website rubiconfarmranch.com and related services (collectively, the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you create an account, place orders, enroll in farm shares, or otherwise interact with our Platform.

By creating an account or using our Platform, you agree to the collection and use of information in accordance with this Privacy Policy.

Account information: first and last name, email address, password (stored as a cryptographic hash — we never store your raw password), and phone number (optional).

Address information: home address (optional — used only to estimate your distance from pickup locations and inform future pickup site decisions; never shared with third parties) and pickup location preference.

Order information: products ordered, quantities, weights, pickup location and window selection, and order history.

Share enrollment information: share type, size, payment plan, deposit and balance payment records, and delivery schedule.

Communications: messages you send to us via email or contact forms.

Payment information: We do not store your full credit card number, card verification code (CVV), or full payment account details. Payment processing is handled by Stripe, Inc. We store only the payment method metadata that Stripe provides: card brand, last four digits, and expiration date. We also store Stripe customer IDs and payment intent IDs to reference transactions.

Usage information: We collect standard web server logs including IP addresses, browser type, pages visited, and referring URLs. This information is used for security monitoring and service improvement.

Session information: We use cookies and similar technologies to maintain your login session, remember your selected pickup location, and maintain your shopping cart. These are functional cookies necessary for the Platform to operate.

We use the information we collect to create and manage your account; process and fulfill orders; calculate pricing based on your price group; manage share enrollments and delivery schedules; send transactional communications including order confirmations, payment receipts, pickup reminders, and delivery notifications; send farm updates and seasonal availability notices if you have opted in; send text message notifications if you have provided a phone number and opted in; process payments through Stripe; improve our pickup location coverage and service offerings; comply with legal obligations; and detect and prevent fraud or unauthorized access.

We do not use your information for automated decision-making that produces legal or similarly significant effects on you.

If you provide a phone number and check the SMS opt-in box during registration, you consent to receive text messages from Rubicon Farm & Ranch regarding pickup reminders for scheduled orders, order status notifications, and new product availability alerts.

Message frequency varies based on your order activity, typically 1–4 messages per month. Message and data rates may apply based on your mobile carrier plan.

To opt out: Reply STOP to any text message at any time. You will receive a single confirmation message and no further texts will be sent. You may also opt out by updating your communication preferences in your account settings.

For help: Reply HELP to any text message or contact us directly.

SMS communications are sent via Twilio, Inc. Your phone number is never shared with third parties for their own marketing purposes.

Transactional emails (order confirmations, payment receipts, pickup reminders, share enrollment confirmations) are sent regardless of your email marketing preference, as they are necessary to fulfill your orders and share commitments.

Marketing emails (farm updates, seasonal availability, new product announcements) are sent only if you have opted in. You may unsubscribe at any time by clicking the unsubscribe link in any marketing email or by updating your preferences in your account settings.

Email communications are sent via Resend. Your email address is never shared with third parties for their own marketing purposes.

We do not sell, rent, or trade your personal information to third parties. We share your information only with service providers who assist us in operating the Platform, each contractually obligated to protect your information:

Stripe, Inc. — payment processing (name, email, payment method details); Supabase, Inc. — database hosting (all account and order data); Resend, Inc. — email delivery (name, email address); Twilio, Inc. — SMS delivery (phone number, message content); Vercel, Inc. — application hosting (web server logs, request data); Cloudflare, Inc. — DNS and network (web server logs, IP addresses).

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

If Rubicon Farm & Ranch is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email before your information is transferred and becomes subject to a different privacy policy.

We retain your account information for as long as your account is active or as needed to provide services. If you request deletion of your account, we will delete or anonymize your personal information within 30 days, except for order and transaction records (retained 7 years for tax and accounting purposes), information we are required to retain by law, and information necessary to resolve disputes or enforce agreements.

We implement reasonable technical and organizational measures to protect your personal information, including encrypted data transmission (HTTPS/TLS), encrypted password storage (bcrypt hashing), row-level security on our database ensuring each user can only access their own data, and restricted access to production systems.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

Access: You may request a copy of the personal information we hold about you by contacting us at rubiconfarmranch@gmail.com.

Correction: You may update your account information at any time through your account settings page.

Deletion: You may request deletion of your account and personal information by contacting us. See Section 7 for retention exceptions.

Opt-Out of Marketing: You may opt out of marketing emails by unsubscribing via any marketing email, or by updating your account preferences. You may opt out of SMS by replying STOP.

Data Portability: You may request a copy of your order history and account data in a portable format.

Virginia Consumer Data Protection Act (VCDPA): Virginia residents have additional rights under the VCDPA, including the right to appeal our response to a privacy request. To submit a request or appeal, contact us at rubiconfarmranch@gmail.com.

The Platform is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us immediately at rubiconfarmranch@gmail.com.

The Platform may contain links to third-party websites such as social media profiles. This Privacy Policy does not apply to those sites. We encourage you to review the privacy policies of any third-party sites you visit.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date and, where appropriate, by sending you an email notification. Your continued use of the Platform after changes become effective constitutes your acceptance of the revised policy.
